The regulation

What is the Guardia Civil requirement?

Under Spain's Organic Law on Public Safety, accommodation providers must report guest information to the Guardia Civil, Spain's national law enforcement agency, through its Hospederías platform — commonly known as the Police Guest Book. The obligation applies to all properties operating in Spain, not just hotels above a certain size.

The data can be entered by hand on the Guardia Civil's own site, or sent from a property management system. Reporting from the PMS means the fields are captured once, at check-in, instead of being retyped guest by guest.

Step 01Check your property detailsSpain must be set as the country in Property Details, and your company name entered correctly in Company details.
Step 02Add your credentialsIn Settings / Marketplace, open the Spanish Police Guest Book item and enter the Hotel ID and password you use on the Hospederías site.
Step 03Then it's automaticComplete reservations are transmitted the next day at midday, Madrid time.

What gets reported

Required guest fields

All of these must be collected for each guest before the reservation can be transmitted. GuestAdvisor Tools can request them in advance through an online check-in form, so they arrive complete.

Frequently asked questions

Yes. Under Spanish law all properties are obliged to send guest data to the Police Guest Book, regardless of size or type.

First name, middle name (compulsory only when the guest's nationality is Spain), last name, date of birth, gender, ID document type and number, the ID's date of issue, and country.

Spain must be set as the country in Settings / Property Details and your company name must be entered correctly in Settings / Company details. You then add your Hotel ID and password from the Guardia Civil's Hospederías management site in the SabeeApp Marketplace.

The transfer happens the next day at midday, Madrid time, once the reservation is onboarded in SabeeApp with the guest details complete.

A checker runs every morning at 07:00 Madrid time. If anything is missing you get an email so you can fill it in, and the Spanish Police Guest Book report shows both what was sent and what's still missing.
