Spanish hospitality compliance guide
Spain's confirmed requirement today is guest reporting to the Guardia Civil. SabeeApp collects the required fields during online check-in and reports them automatically.
Quick facts
The regulation
Under Spain's Organic Law on Public Safety, accommodation providers must report guest information to the Guardia Civil, Spain's national law enforcement agency, through its Hospederías platform — commonly known as the Police Guest Book. The obligation applies to all properties operating in Spain, not just hotels above a certain size.
The data can be entered by hand on the Guardia Civil's own site, or sent from a property management system. Reporting from the PMS means the fields are captured once, at check-in, instead of being retyped guest by guest.
What gets reported
All of these must be collected for each guest before the reservation can be transmitted. GuestAdvisor Tools can request them in advance through an online check-in form, so they arrive complete.
The knowledge base article lists these nine fields, with middle name compulsory only for Spanish nationals. An internal note recorded ten mandatory fields including the check-in date. Worth confirming which list is current before publishing.
SabeeApp collects the required fields as part of guest online check-in, then forwards them automatically to the Guardia Civil's Guest Book system — no separate form for each guest at the front desk.
Nine fields per guest, every guest, every night. Ask once, at check-in, and the reporting takes care of itself.
Collect the required guest data once, at check-in, and let SabeeApp report it automatically.
FAQ
Yes. Under Spanish law all properties are obliged to send guest data to the Police Guest Book, regardless of size or type.
First name, middle name (compulsory only when the guest's nationality is Spain), last name, date of birth, gender, ID document type and number, the ID's date of issue, and country.
Spain must be set as the country in Settings / Property Details and your company name must be entered correctly in Settings / Company details. You then add your Hotel ID and password from the Guardia Civil's Hospederías management site in the SabeeApp Marketplace.
The transfer happens the next day at midday, Madrid time, once the reservation is onboarded in SabeeApp with the guest details complete.
A checker runs every morning at 07:00 Madrid time. If anything is missing you get an email so you can fill it in, and the Spanish Police Guest Book report shows both what was sent and what's still missing.
Yes. Once the connection is live and the guest details are collected, nothing further is needed from your team — SabeeApp sends the data to the Guest Book system.
GuestAdvisor Tools can request the information in advance through an online check-in form, so the fields arrive complete rather than being chased at the desk.
