When handling group reservations that use virtual credit cards (VCCs), it’s important to understand how SabeePay processes these payments.
You cannot charge VCCs from the Group Reservation page. All VCC payments must be made from each individual reservation page or through the PMS / VCC menu using Bulk Charge.
💳 One Booker & One VCC (Expedia Group Reservations)
Some Expedia group bookings arrive with one booker and a single VCC shared across all individual reservations.
- SabeeApp assigns the VCC to each reservation and splits the total amount proportionally across the group.
- When you charge the VCC, SabeePay creates separate payments for each reservation automatically.
➡️ You must charge the VCC from one individual reservation page or from the PMS / VCC menu.
Example:
A group reservation arrives for €300 for 1 night, consisting of 3 rooms at €100 each.
On each individual reservation page, you will see:
Virtual Credit Card received — Balance: €300
If you charge the VCC from any single reservation page for the full €300, all three rooms will be charged automatically. Each reservation will then display a €100 SabeePay payment.
Alternatively, you can charge all three reservations at once from the PMS → VCC menu. Charge €300, and the system will automatically split the amount into €100 per reservation.
🔁 Multiple Bookers & Multiple VCCs
Some Expedia group bookings include multiple bookers, each providing their own VCC.
- Each VCC is stored under the reservation belonging to the respective booker.
- When any of these VCCs is charged, the payment is not split across the group.
- The full amount of that transaction is applied only to the reservation linked to that specific VCC.
Example:
Following the same scenario:
A group reservation totals €300, with 3 rooms at €100 each. Each booker has supplied their own VCC.
On each individual reservation page you will see:
Virtual Credit Card received — Balance: €100
If you charge one VCC, only that specific reservation will receive a €100 SabeePay payment.
The remaining €200 must be charged separately from the other two individual reservation pages.
Alternatively, you can charge all three individual reservations in the group at once from the
PMS / VCC menu. Simply select all three reservations and use the Bulk Charge button to process them together.
🔁 One Booker & Multiple VCCs
Some Expedia group bookings have one booker but provide different VCCs for individual reservations.
- All VCCs are stored on their respective reservation pages.
- When any VCC is charged, the payment is not split across the group.
- The full payment goes exclusively to the reservation associated with the charged VCC.
This ensures that payments are tracked accurately and avoids confusion in the PMS and payment reporting.
Example:
Same scenario again:
A group reservation totals €300, with 3 rooms at €100 each, but this time one booker has provided three different VCCs, one for each reservation.
On each individual reservation page you will see:
Virtual Credit Card received — Balance: €100
If you charge one VCC, only that reservation will receive the €100 SabeePay payment.
The remaining €200 must be charged from the other reservation pages, using their own VCCs.
Alternatively, you can charge all three individual reservations in the group at once from the
PMS / VCC menu. Simply select all three reservations and use the Bulk Charge button to process them together.
✅ Conclusion
Expedia group reservations can arrive in different configurations depending on how many bookers and how many VCCsare provided. Unfortunately, this information is not visible on the reservation page, which makes it hard to know which scenario you are dealing with.
To avoid incorrect payment allocation and to ensure that all VCCs are charged properly, we strongly recommend charging all Expedia VCCs through the
PMS / VCC → Bulk Charge menu.
Using Bulk Charge guarantees consistent behaviour across all scenarios and prevents misallocation of payments within group reservations.
