What to Expect After Connecting to HostelWorld

Once your SabeeApp account is connected to Hostelworld, availability, pricing, and stay restrictions will begin syncing between the two platforms. This ensures streamlined reservation management and accurate data flow. However, there are some key behaviours and limitations you should be aware of to avoid confusion or misconfigurations.

🔄 What Data Syncs Between SabeeApp and Hostelworld?

Synced from SabeeApp to Hostelworld:

  • Room availability
  • Prices (maximum occupancy pricing only)
  • Minimum night restrictions
  • Maximum night restrictions (up to 30 nights – supported by Hostelworld)

⚠️ Rate plan closures are not supported by Hostelworld.

If you close a rate plan in SabeeApp, it will not be closed automatically in Hostelworld. Manual updates in the Hostelworld extranet may be necessary.

💰 Important Pricing Behaviour

  • Hostelworld only accepts the price for maximum occupancy from SabeeApp.
  • Prices for additional occupancy levels (e.g., fewer guests) are calculated automatically by Hostelworld based on the maximum occupancy price you provide.

💳 Commission & Payment Handling (Hostelworld)

How payments work for Hostelworld bookings

When a guest makes a reservation through Hostelworld, payment is split as follows:

  • 15% of the total reservation value is paid online to Hostelworld at the time of booking.
    This amount represents the Hostelworld commission.

  • The remaining 85% is paid by the guest at check-in.

  • This 85% amount appears in the SabeeApp Folio, provided you are using tax models M01, M02, M03, M04, or M06.

✅ Set the standard Hostelworld commission (15%)

To ensure accurate financial tracking in SabeeApp, verify that the Hostelworld commission is set correctly:

  1. Go to Settings

  2. Select Partners

  3. Click Hostelworld

  4. Set Commission to 15%

💡 Example

  • Total reservation value: €150

  • Guest prepays €22.50 (15%) to Hostelworld

  • Guest pays €127.50 (85%) at check-in

  • €127.50 is displayed in SabeeApp as the amount owed to your property

Tax Model M04:

  • SabeeApp will display €127.50 + City Tax, as city tax is added on top and collected at the property.


✅ If you use Hostelworld Elevate (18% commission)

Hostelworld’s Elevate program applies an additional 3% commission on top of the standard 15%, resulting in a total commission of 18%.

If your property is enrolled in the Elevate program, you must update the commission setting in SabeeApp to ensure prices are calculated correctly.

How to update the commission in SabeeApp

  1. Go to Settings

  2. Select Partners

  3. Click Hostelworld

  4. Set Commission to 18%

⚠️ Important:
If the commission is not set to 18%, SabeeApp will receive incorrect pricing from Hostelworld, which may result in inaccurate folio amounts and reporting.

🧾 Price Calculation Net Tax Models (for M05, M07, M08, M09 Tax Models)

For these tax models, SabeeApp uses an updated method to handle Hostelworld pricing:

  1. VAT is added to the net total of the reservation.
  2. A payment entry is recorded in the reservation to reflect the 15% commission paid to Hostelworld.
  3. In group bookings, the payment is linked to the group reservation page.
  4. Payment appears as:
    • Payment Name: Paid on Hostelworld
    • Payment Method: Credit/Debit Card

This ensures more transparent and accurate pricing.

🔐 Guest Data and Credit Card Info

Reservations coming from Hostelworld will include:

  • Guest contact details
  • Credit card data (excluding the CVC/CVV code)

⚠️ Important Restriction Note

Hostelworld accepts:

  • A maximum of 30 nights as a maximum stay restriction
  • A maximum of 30 nights as a minimum stay restriction, for both standard and non-refundable rates

Exceeding these limits may result in syncing errors or booking issues.
