What to Expect after Connection to Expedia

Once you connect SabeeApp to Expedia and perform the initial synchronization, your availability and pricing in Expedia will be overwritten by the data from SabeeApp. From that point on:

  • Availability must be managed via SabeeApp’s Calendar

  • Prices must be updated in Rate Plans linked to Expedia

  • Manual changes in Expedia’s extranet will no longer be possible for these settings

🔁 What Is Synced from SabeeApp to Expedia

  • Room Availability

  • Prices (via linked rate plans)

  • Minimum night restrictions (linked rate plans)

  • Maximum night restrictions (linked rate plans)
⚠️ Expedia allows a maximum stay of 31 nights

  • Open/Close room availability

  • CTA (Closed to Arrival) and CTD (Closed to Departure) settings

📥 What Is Received from Expedia to SabeeApp

  • New reservations

  • Guest details (most data from Expedia’s reservation page is synced to SabeeApp)

💳 Understanding Expedia Payment Methods

1. Expedia Collect

  • Expedia charges the guest, and you claim the payment later:

    • Either by sending a request to Expedia

    • Or using an Expedia Virtual Card

  • ⚠️ Note: CVV code of virtual cards is not sent to SabeeApp

  • The reservation in SabeeApp will show the NET price (commission already deducted)

2. Hotel Collect

  • You charge the guest directly at the property

  • The reservation will show the GROSS price (includes Expedia's commission)

  • You must then pay the commission to Expedia as per your agreement

🆕  Reservation Synchronisation

Thanks to a recent API development, more reservation updates can now be synced from SabeeApp to Expedia, enhancing the integration for properties under the Hotel Collect or Expedia Traveler Preference models.

🔄 New Syncable Changes

  • No-show status and penalty amounts

  • Cancellation status and cancellation fees

  • Arrival and departure date changes

  • Room price changes

Conditions for Synchronisation

These changes can be synced to Expedia only if all the following apply:

  • The arrival date is today or in the past

  • The reservation has already been checked-in

  • The reservation is under the Hotel Collect model

  • The property is independently managed (not part of a chain group)

📌 Detailed Sync Scenarios

❌ No-show / Cancellation

  • When a Hotel Collect reservation is marked as No-show or Cancelled in SabeeApp, the status is synced to Expedia automatically.

  • You can set a penalty amount, but it must not exceed the original booking amount.

  • You'll receive a warning if the amount is too high, followed by a confirmation prompt.

  • Once synced, a message will appear in the Activity tab:
"SabeeApp system: Change synced successfully to Expedia!"

  • ⚠️ Important: Expedia allows only one cancellation sync per reservation. Any reactivation or second cancellation attempt must be handled directly in Expedia Partner Central. SabeeApp will display a warning:
“Expedia allows only one cancellation synchronization per reservation...”

🗓️ Arrival / Departure Date Changes

  • You can shift arrival/departure dates by up to 3 days before check-in or 3 days after check-out

  • A confirmation is required before syncing the update

  • You can reconcile a reservation up to 3 times

  • Successful syncs will appear in the Activity tab:
"SabeeApp system: Change synced successfully to Expedia!"

💰 Room Price Changes

  • You can update room prices (e.g., due to room upgrades or added guests)

  • You must confirm that the new price should be sent to Expedia

  • For original stay dates, prices cannot exceed 3× the base rate

  • There are no limits on price changes for added dates

  • You can reconcile price changes up to 3 times

  • Activity tab will show successful updates:
"SabeeApp system: Change synced successfully to Expedia!"

Reconciliation Deadline

  • Changes can be sent from check-in day until 11:59 PM (property local time) on the 4th day of the following month after check-out.

  • For example: If checkout is on May 15, you have until June 4 to report updates.
