How to Include a Service in the Room Rate but Display It Separately on Invoices

You can include a service, such as breakfast, in the room rate while still showing it as a separate line item on invoices and folios in SabeeApp by using the “Derived” inclusion type. This is useful for properties that offer inclusive packages but want clear invoicing for accounting or transparency.

Steps to Configure

1. Access Service Settings

Go to Settings → Services → Service List in your SabeeApp account.

2. Add or Edit the Service

• If the service (e.g., “Breakfast”) already exists, click Edit.
• If not, click Add New and name it (e.g., “Breakfast”).

Service Configuration

1. Category: Select Breakfast.

2. Inclusion Type: Choose Derived.

   • Note: “Derived” ensures the service cost is included in the room rate but appears as a separate line item on invoices and folios.

3. Define Pricing:

   • Price Type: Select Fixed and set the price.
   • Price Applicable:
     • Typically Per Person.
     • If you want guests to choose the amount, select Exact Quantity.
   • VAT %: Set the correct tax rate for the service.

   Important: In some countries (e.g., Hungary), this setting is locked. According to local regulations, if the service is included in the accommodation price, it must use the same VAT rate as the room.

   • Billing Type:
     • For Per Person, choose Daily or Once.
     • For example, a B&B rate usually uses Per Person / Daily.

4. Description: Add an appealing description that will appear on your SabeeApp Booking Engine.

5. Compulsory: Derived services are automatically compulsory and cannot be changed.

6. Assign to Rate Plan: Link the service to the specific rate plan you want.

   • Note: With these settings, the breakfast will be automatically added only for reservations made with the rate plan you assigned it to.

7. Apply Service Fee: Optional – add a tip/service fee if applicable.

8. Upload Photo: Add an image of the service to make your Booking Engine more attractive.

9. Save Changes: After configuring the settings, click Save to apply the service.

Outcome

• The cost of the service (e.g., breakfast) is included in the room rate, providing a clear total price for guests.
• On invoices and folios, the service appears as a separate line item, ensuring transparency and proper accounting.
• The service is automatically added to reservations made with the specific rate plan you assigned it to.
• Important: If you want to sell this service on external channels like Booking.com or Airbnb, additional settings are required.
