Room creation date plays an important role in performance and occupancy reports. When a room is moved from one room type to another, the room’s creation date does not change. However, the room’s inclusion in filtered reports does change, which can affect historical and future reporting results.

How Occupancy Is Calculated

Occupancy percentage is calculated using the following formula:

Occupancy % = (Total booked room nights ÷ Available room nights) × 100

Booked room nights

Only reservations with the following statuses are counted as booked room nights:

  • Confirmed
  • Option

The following reservation statuses are excluded from occupancy calculations:

  • Cancelled
  • No-show
  • Unfinished

How Room Creation Date Affects Reports

Performance and occupancy reports use the room creation date to determine when a room becomes available for reporting.

  • If a room was created after the start of a reporting period, it is not included in occupancy or availability calculations for dates before it existed.
  • As a result, reports that include dates before the room was created may show lower occupancy values.

How Inactivating a Room Affects Reports

Inactivating a room removes it entirely from performance reports:

  • The room is excluded from all reports, including past and future dates.
  • This behavior applies regardless of when the room was inactivated.

Because of this, inactivating rooms can significantly change historical report results.


Moving a Room Between Room Types

When a room is moved from one room type to another:

  • The room creation date remains unchanged.
  • The room is reassigned from one room type to another (for example, Room Type A → Room Type B).

How this affects reports

The structure of the report does not change, but room type filters do:

  • When filtering by the original room type (Room Type A):
    • The room is no longer included in the results.
    • Occupancy and performance metrics for Room Type A are recalculated without that room.
  • When filtering by the new room type (Room Type B):
    • The room is included in the results.
