Corporate rate plans are a special type of pricing setup designed for your contracted business partners—such as companies, travel agencies, or other organizations you have pre-agreed rates with. These plans function like a mix between a standard rate plan and a coupon code, allowing specific partners to access negotiated rates through your Internet Booking Engine (IBE) or via manual reservations.
🏢 What Is a Corporate Rate Plan?
A Corporate rate plan:
-
Is created for a specific company
-
Is accessed using a unique code
-
Appears on the IBE only when the code is entered
-
Is not visible to the general public
-
Is not synced to external channels (e.g., OTAs or Google Hotel Ads)
This type of plan is ideal when you want to offer custom pricing for a partner that does not follow your regular Master or public rate structures.
🛠️ How to Create a Corporate Rate Plan
Step 1: Set Up the Company Profile
Before creating the rate plan:
-
Navigate to PMS > Companies
-
Make sure the company you’re targeting is listed
If not, create a new company profile first.
Step 2: Create the Rate Plan
-
Go to the Prices/ Rate Plans menu
-
Click Add New Rate Plan
- Give a name to the new rate plan, for example: the company name
-
Decide whether to link it to Master Prices
In most cases, Corporate plans are not linked, and have their own pricing
Step 3: Configure the Rate Plan Settings
After creating the rate plan:
- Click on the rate plan you just created
- Then click Show Tools and select Edit Settings
Now, go through the following key configuration steps:
- Activate the rate plan by sliding the Available for IBE slider to the active (green) position.
- Select "Corporate" as the rate plan category
- Enter the code your partner will use to unlock this rate on your IBE
- Assign the company this plan belongs to
- Choose cancellation and payment policies.
- Choose whether to link minimum night stay restrictions to the Master rate or set separately
- Corporate plans are not used for channel connections - leave that toggle grey (inactive)
Step 4: Add Pricing and Restrictions
Now it’s time to set up pricing, availability, and restrictions for your Corporate rate plan. The process differs depending on whether the plan is linked to Master Prices or not:
🔗 If the Corporate rate plan is linked to Master Prices:
You’ll need to define how the Corporate rate differs from the Master Prices using the following settings:
-
Rate Modifier – Choose whether the Corporate plan is cheaper or more expensive
-
Rate Plan Type – Select the type of modification (e.g., percentage or fixed amount)
-
Rate Plan Value – Enter the value of the modification (e.g., 10% discount)
These settings help ensure the Corporate rate consistently reflects the agreed discount compared to your standard rates.
❌ If the Corporate rate plan is not linked to Master Prices:
You’ll need to manually set the following:
-
Prices
-
Minimum night stay restrictions
These can be configured just like you would for any independent rate plan, such as your Master rates.
🧾 How It Works on the Booking Engine
When your partner visits your IBE:
-
The default rates will show first (as for any visitor)
-
To access their special rates, they must enter the Corporate code
-
After entering the code:
-
The page refreshes
-
Only their custom rates will be displayed
-
This ensures privacy and exclusivity for your agreed partner rates.
✍️ Manual Reservations Using Corporate Rate Plans
If the partner books directly via phone or email:
-
Open the manual reservation form
-
In the Rate Plan section, select the appropriate Corporate rate plan
-
Complete the rest of the reservation as usual
✅ Summary
Corporate rate plans are perfect for managing special agreements with your partners—offering them customised rates without exposing those deals publicly. With flexible setup options and full control over access via a secure code, they streamline your B2B booking workflow both online and offline.
